Operations Manager

About Providence Academy

Providence Academy is a PreK–12 private Catholic school in Plymouth, Minnesota, founded in 2001 and approaching its 25th year. We offer a classical liberal arts education rooted in the Catholic intellectual tradition, forming students in faith, character, and intellect.

The Role

The Operations Manager keeps the Academy running so teachers can teach. Reporting to the Director of Business, you’ll manage the physical and operational life of the school — facilities, safety, transportation, food service, and vendor relationships — and supervise custodial, maintenance, and operational support staff.

This is a hands-on, execution-oriented role for someone who thrives on making complex organizations work quietly and well.

What You’ll Do

  • Oversee maintenance, repairs, and cleanliness of all buildings and grounds
  • Manage safety protocols, emergency drills, and security systems; serve as primary liaison with local law enforcement and emergency services
  • Ensure compliance with health, safety, fire, and regulatory requirements — and keep the documentation to prove it
  • Oversee student transportation systems, vehicle compliance, and vendor performance
  • Manage cafeteria operations and the third-party food service provider
  • Coordinate operational technology needs (cameras, access control, phones, printers) with the IT department
  • Manage vendor contracts and service relationships across all operational areas

What You Bring

  • Bachelor’s degree or equivalent experience
  • 5–8 years of progressive operations, facilities, or property management experience with supervisory responsibility
  • Demonstrated skill managing regulatory compliance, inspections, and documentation
  • Strong organizational and communication skills; comfortable working across departments
  • Calm under pressure, detail-oriented, and genuinely execution-focused

Bonus: Prior experience in a school, university, or institutional setting; familiarity with school transportation or food service regulations; OSHA, facilities, or project management certifications.

Compensation & Benefits

$85,000–$100,000 depending on experience, plus health coverage (ICHRA), retirement contribution, paid time off, professional development support, and tuition remission for dependent children in accordance with school policy.

Marketing Content Specialist

Providence Academy is a Catholic, college-preparatory PreK-12th Grade school formed by the conviction that faith and reason belong together, and that a rigorous education in both leads students to lives of meaning and purpose. We are looking for a talented Marketing Content Specialist who shares that conviction and wants to use their gifts to help families discover and support our school.

This is a full-time, on-campus role. The ideal candidate is a skilled visual storyteller — comfortable behind a camera, fluent in social media, and driven by more than metrics. You will be the person who captures the life of this school and shares it with the world.

Supervisory Relationship

Reports directly to the Director of Advancement.

Primary Responsibilities

  • Serve as the Academy’s primary photographer & videographer, capturing the daily life of the school — classrooms, athletics, arts, and community — across all divisions and departments.
  • Own the Academy’s social media presence: develop and execute a content strategy that builds community awareness, drives prospective family engagement, and supports enrollment goals for our Admissions department.
  • Produce compelling donor-facing content that deepens relationships with current supporters and helps cultivate new ones, in close collaboration with the Development team.
  • Create photo and video content — both short and long form — for a variety of departments (Admissions, Development, Alumni Relations, Athletics, and the Arts), with a clear understanding of how each piece serves a specific audience and goal.
  • Assist with graphic design for both digital and print platforms.
  • Support for the Marketing & Communications Coordinator with collaborative projects and regular school communication needs
  • Collaborate with other staff and directors to ensure all content is cohesive, on-brand, and mission-aligned.
  • Track performance metrics across platforms and use data to inform content decisions and improve reach and engagement over time.
  • Ensure all outreach reflects the Academy’s identity as a faithfully Catholic, academically serious, and joyful PK-12 school. 
  • Attend and document school events as assigned.

Desired Qualifications and Skills

  • A bachelor’s degree in Marketing, Communications, or a related field is preferred, though demonstrated experience and a strong portfolio can speak equally well.
  • Proven experience with photography and videography — capture and editing — for both short and long-form content.
  • Experience managing institutional or organizational social media accounts with measurable results (follower growth, engagement, reach, conversion).
  • Proficiency in Adobe Creative Suite and Canva; experience with video editing software (Premiere Pro, Final Cut, or equivalent).
  • Understanding of social media strategy and platform-specific best practices (Instagram, Facebook, YouTube, and emerging platforms).
  • Strong written and verbal communication skills.
  • Experience working with print vendors, mail houses, or digital advertising platforms is a plus.
  • A genuine appreciation for Catholic education and an understanding of what makes Providence Academy distinctive — both as a Catholic school and as a college-preparatory institution. 

Compensation

This is a full-time, benefits-eligible position. Expected salary range: $50,000–$60,000 per year, commensurate with experience. Occasional evening & weekend work may be required.

Senior Accountant

Position Summary
Reporting directly to the Director of Business Office and Operations, this position is responsible for the management of accounting functions including general ledger maintenance, financial reporting, account reconciliation and analysis, payroll and benefits, budgeting, auditing and internal controls.

Key Responsibilities

  • Support timely and accurate preparation of financial statements
  • Perform monthly, quarterly and yearly close activities
  • Prepare and maintain reconciliations for balance sheet and revenue accounts and resolve discrepancies on a monthly basis
  • Collaborate with Human Resources in overseeing the accurate and timely processing of payroll and related tax reporting and accounting of benefit and ensuring proper recording of payroll and benefits transactions
  • Assist with budget preparation, monitoring and variance analysis
  • Play an active role in preparing audit schedules requested by auditors for the annual financial audit, 403(b) retirement plan audit and worker’s compensation audit
  • Respond to inquiries regarding financial transactions and request for ad hoc reports

General Support

  • Support the Director of Business Office and Operations with special projects
  • Serve as back up to other Business Office staff in the areas of accounts payable, accounts receivable and payroll
  • Ensure that financial records are maintained in compliance with GAAP
  • Perform other duties as required and assigned

School Bus Drivers – 2026–2027

Providence Academy (PK–12 Catholic, Plymouth) has a rare opening for school bus drivers and van drivers. One campus, one tier, small loads (most routes have fewer than 15 students) and very few discipline issues.   

  • Route drivers have guaranteed 4 hours per day school is in session (AM + PM), 

  • All drivers have 2‑hour minimum per shift

  • New rates effective Sept. 1, 2026:

    • Van / Type II: $20.61

    • 0–2 yrs school bus experience: $26.73/hr

    • 2+ yrs school bus experience: $29.24/hr

  • 29–32 passenger route buses and 77 passenger field trip and athletic buses, well‑maintained fleet         

  • Faith‑based, family‑oriented community    

Requirements: 21+, safe driving record, CDL with School Bus & Passenger endorsements or willingness to train, ability to pass DOT physical/drug screen and background check.

Lower School Learning Specialist

Position Summary

Providence Academy seeks an experienced and faith-filled Learning Specialist to join our Lower School faculty.  The Learning Specialist role is to ensure that students with specialized learning needs make successful academic progress in the Lower School and gain lifelong learning tools while embracing the school’s mission. The role involves conducting regular reading and math screenings; reviewing educational evaluations and implementing recommendations; setting goals; creating and communicating classroom accommodations; collaborating with teachers; and providing regular updates to teachers, students, and their parents on academic progress. The role also includes coaching students in applying organizational, reading, math, and study strategies to help them achieve academic proficiency.

Key Responsibilities

Academic Support and Assessments

  • Be knowledgeable of various best practices in teaching students with learning diagnoses (familiarity with the DSM-V).
  • Coordinate regular reading and math assessments of all LS students, including interpreting results and offering support to students below grade level
  • Create and manage student accommodation plans to address unique learning challenges.
  • Track student progress and achievement with student accommodation plans in coordination with the Lower School student support team
  • Coordinate and manage files and/or paperwork in relation to students with learning needs.

Instructional Coordination Responsibilities

  • Meet with students individually or in a small group as needed for academic support in phonics, reading, math, and/or study skill enhancement.
  • Interface with counselors, teachers, parents, administrators, and medical professionals, and school district special education personnel related to diagnoses and interventions for learning differences.
  • Communicate suggested study methods for parents to utilize at home to enhance skills and support their students’ academic success.
  • Collaborate with other learning support personnel across the school divisions to ensure a continuum of academic support for students with learning needs.

Qualifications

  • A bachelor’s degree or higher with a strong knowledge base in identifying and accommodating learning differences. 
  • Reading specialist endorsement or specialized training in this area.
  • Ideal candidates will have at least three to five years of teaching experience, an understanding of differentiated instruction, a flexible and team-oriented approach, excellent written and oral communication skills, exceptional organizational skills and attention to detail, and superior interpersonal skills.
